Create an accountable inventory
Assign a move coordinator and list furniture, boxes and equipment by department. Identify what is essential for the first working day at the new premises. Label destination rooms and workstations, then use matching labels on the items. Keep a separate record for equipment with serial numbers or specific handling needs.
Confirm access at both offices
Ask building management about loading bays, goods lifts and moving permissions. Reserve any required access window before agreeing transport times. Give the driver clear arrival instructions and a receiving contact. Plan for long carries or restricted lift use instead of assuming direct access from the truck.
Give IT and documents their own plan
Arrange backups, shutdown, disconnection and reconnection with your IT team. Keep confidential files and essential devices under appropriate supervision. A transport service moves items; it should not be treated as a substitute for data management or secure records handling. Clarify responsibilities within your own business.
Reconcile the move at delivery
Check incoming items against the inventory and place them in labelled rooms. Record discrepancies while the move team is present. Retain packaging until equipment has been checked. Confirm the agreed scope for furniture handling and any return trips beforehand, so the move coordinator can make decisions against a clear plan.
